Executive Assistant

1. Provide timely support to President and/or other Executive Management for: travel plans, processing expense reports, approving expense reports, full calendar management, and meeting scheduling & coordination.

2. Manage communication between Japan and America’s Management through companywide meetings including translation and follow-up.

3. Translation during multiple Executive meetings and documents.

4. Create well written speeches for President and/or other Executive Management.

5. Plan, coordinate, orchestrate events and meetings including Executive events.
6. Gather data and submit to Consulate to obtain VISAs; train other team members for requirements and process.
7. Provide computer & technical support and assist with problem solving (executives and team members), as needed
8. Process and approve invoices for BOD, interact with A&F for budget preparation and reporting, prepare and maintain monthly reports for management.
9. Conduct Administrative meetings and trainings, understand issues, report matters of concern to management, make recommendations and maintain contact for on-going support.
10. Provide personal assistance to President and/or Executive Management, when needed. (Ex. maintain company vehicle and coordinate repairs for personal residences.)
    • Greater than two (2) years of relevant experience required.
    • Prior experience working as an administrative assistant for executive level management.
    • Bilingual in English and Japanese..
    • Strong attention to detail.

  • Solid working knowledge and experience with Microsoft Office and other computer-based applications (e.g., MS Word, MS Excel, MS PowerPoint, Lotus Notes/Outlook, Internet, etc.).
